What to Expect

Making the most of your session

Please arrive as close to the start time of your appointment as possible, avoid drinking alcohol before your treatment (and afterwards, if possible) and drink plenty of water afterwards.

Are there times when I shouldn't have massage or reflexology?

There are a few conditions that are contra-indications to massage and reflexology. You cannot receive a treatment if you:

Have acute undiagnosed pain, have a raised body temperature, have an infectious disease, have a DVT or blood clot or are intoxicated with drugs or alcohol.

There are certain conditions would necessitate a discussion before you book an appointment, such as:

A contagious skin disorder (e.g., athletes’ foot, psoriasis, verrucae, eczema, dermatitis), cellulitis, varicose veins, minor or major surgery (within the last 18 months), recent fractures, sprains or strains, hernia, allergies, sunburn, scar tissue, oedema, abrasions, foot pain, bruising or inflammation.

Additionally, reflexology should be avoided if you have any recent foot injuries. If you are concerned about whether you can have a treatment, please feel free to get in touch and have a chat.

Covid 19 Information

I do not routinely wear a face mask at the moment. Please let me know if you are classed as vulnerable and I will wear one for our session.

Sustainability

I am committed to being as environmentally sustainable and eco-conscious at work as possible. I have signed up to the AoR Eco Friendly Therapist badge, which means that I pledge to fulfil the following guidelines wherever practicable within my therapy practice:

1. Minimise unnecessary purchasing in my practice – I use up existing things before buying new ones, and reuse items where appropriate and safe to do so

2. Use paper only where necessary, and to choose paper that is recycled/carbon balanced/ FSC or PEFC certified

3. Ensure that any products I use are produced in an environmentally sustainable way, eg low volume organic production runs

4. Ensure that any chemicals used in my practice are not harmful to the environment

5. Consider the carbon footprint of items and products used in my practice

6. Minimise the waste generated by my practice and make sure any waste generated is recyclable or compostable

7. Minimise the impact of my travel on the environment

In addition, the energy used in my practice is provided by our solar panels, air-source heat pump, and 100% renewable electricity from the grid.


Cancellation Policy

Once your appointment is booked my time is reserved exclusively for you. I understand that sometimes plans have to change and so to keep my business running I ask for at least 24 hours’ notice should you wish to cancel or re-arrange your appointment. This notice period saves me needing to charge you for it by enabling me to offer the session to another client. Cancellations or re-arrangements with less than 24 hours notice will regrettably be charged at the full fee.

Covid-19

Where you have begun to experience symptoms of Covid-19 or you have been told to isolate yourself less than 24 hours prior to your appointment please inform me immediately on 07790 123797 to avoid any cancellation fee.

All your information is confidential. I may share your information with any person you give permission to share it with.

Lawful basis for holding and using client information

Under the UK General Data Protection Regulation (UK GDPR), the lawful basis I rely on for processing this information are:

(a) I have a legal obligation:

1.1 'Claims occurring' insurance: (records to be kept for 7 years after last treatment)

(b) I have a legitimate interest (i.e. our requirement to retain the information in order to provide you with the best possible treatment options and advice).

As I hold special category data (i.e. health related information), the additional condition under which I hold and us this information is: for me to fulfil my role as a health care practitioner (including specifically as a reflexology practitioner bound under the AoR Confidentiality requirement as defined in the AoR Code of Practice and Ethics.

Protecting your personal data - how I store your personal information

I am committed to ensuring that your personal data is secure. To prevent unauthorised access or disclosure, I have put in place appropriate technical, physical and managerial procedures to safeguard and secure the information I collect from you.

Your data protection rights

Under data protection law you have rights including:

Your right of access - you have the right to ask me for copies of your personal information

Your right to rectification - you have the right to ask me to rectify personal information you think is inaccurate. You also have the right to complete any information you think is incomplete.

Your right to erasure - you have the right to ask me to erase your personal information in certain circumstances.

Your right to restriction of processing - you have the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - you have the right to ask me to transfer your personal information to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, I have one month to respond to you.

Therapist's Rights

If you don't agree to me keeping records about you and your treatments, or if you don't allow me to use the information in the way I need to for your treatment, I may not be able to treat you.

I must keep a record of treatments for a certain period, as described above, which may mean that even if you ask me to erase any details about you, I may have to keep these details until after this period has passed.

I can move your records between my computers and IT systems with out your permission as long as your details are protected from being seen by others.

How to complain

Please submit your complaint in writing, either by email or post, using the contact details provided above. To help me investigate your concerns as efficiently as possible, please include:

your full name and preferred contact details

a clear description of your concern and which of your data protection right(s) you believe have been affected

the approximate date(s) when the issue occurred

any relevant correspondence, reference numbers of documents

My complaints Process

Once I have received your complaint I will follow the five steps below. I am committed to handling all complaints promptly, fairly and confidentially.

Acknowledgement - within 30 days

I will acknowledge your complaint in writing within 30 days of receiving it, confirming I have record it and will be investigating.

Requesting Further Information

If I need any further details to fully investigate your complaint, I will contact you as soon as possible explaining what I need and why.

Investigation and Review

I will carry out a thorough and impartial review of your complaint.I will agree a realistic timescale with you once I have all the necessary information, and will keep you updated ig there are any delays.

Decision and Outcome

I will communicate the outcome of my investigation to you clearly and in writing within once calendar month of receiving all the information needed (this may be extended for up to two further months for complex complaints (I will notify you if this is the case).

Closure or Escalation

If you are satisfied with the outcome I will close your complaint. If you remain dissatisfied, you have the right to refer your complaint to the ICO free of charge (see Section 6 below).

Escalating your complaint to the ICO

If you remain dissatisfied with my response you have the right to lodge a complaint with the Information Commissioner's Office (ICO) - the UK's independent supervisory body for data protection. This service is free of charge.
